EXECUTIVE PERSONAL ASSISTANT JAPANENSE FINANCIAL GROUP PERM £45,000 pa CITY Japanese Financial Group in the City are recruiting for an Executive Assistant to support a recently appointed new CEO who requires confidential and comprehensive secretarial support. Whilst a significant component of this role is that of a traditional PA position, the CEO will expect his Executive Assistant to be able to take ownership of project work, such as event coordination and client liaison.
The key responsibilities include:
- Diary management to include screening of emails, arranging meetings, preparing itineraries, lunches, dinners etc
- Expense preparation and processing, with the ability to use initiative to resolve expense related issues when they arise
- Scheduling travel itineraries and arranging visas
- Attending and taking minutes and meetings
- General administrative tasks including typing, answering telephone calls and talking accurate messages
- Project management
- Liaise with senior management
- Ad hoc assistance on personal matters (to include arranging CEO’s lunch during weekdays)
- Coverage for other Executive Assistants as and when required
The successful candidate will have the following skills and experience:
- Previous proven Executive Secretary experience working in a Banking environment
- Previous experience of working in a Japanese environment desirable but not essential
- Client liaison and project management experience
- Experience of budgeting, with strong numeracy skills
- Possess excellent interpersonal and communication skills (written and verbal).
- Exceptional client facing skills
- Diplomatic yet assertive
- Good organizational skills, ability to follow up on outstanding issues and multitasking
- Able to anticipate problems and offer solutions
- Flexible on working hours (core hours are 7am-5pm), occasional weekend work and understanding of business demands

Team PA to MD + Team of Bankers £35,000 + Bens City Leading independent Investment Banking and Institutional Stock broking business based in the City are recruiting for a permanent PA to support one MD and a Team of Bankers.
The purpose of this role is to support the MD of Oil & Gas plus his team of Bankers with all secretarial support.
Duties for this role include:
- Diary management for MD and team
- Screening of emails
- Arranging meetings and preparing itineries
- Arranging travel and flights
- Arranging conference calls
- Creating Powerpoint presentations
- Screening calls and relaying messages accurately and promptly
- Ordering stationery and IT equipment
- Organising & maintaining filing system (both electronically and hard copies)
- Collating, raising, submitting and cross-checking expenses
- Office maintenance, including equipment
- Booking refreshments/in-house catering
- General office duties: printing, faxing & photocopying
- Coordinate the set up of New Starters (Logins, Desks, Extension).
The ideal candidate for this role will have the following skills and experience:
- Proven previous expeince in the Banking/Financial industry
- Proven previous Secretarial experience
- Able to work under pressure and to tight deadlines
- Excellent planning and organisational skills
- Must be able to deal with sensitive and confidential issues appropriately
- Able to think and act quickly and creatively
- Accuracy and high attention to detail
- Excellent communication skills
- Must be confident with the ability to work on own initiative with a resilient attitude and a down-to-earth approach to work
