Assistant Investment Banking To start end of August £16ph + OT Canary Wharf
Large Investment Bank in the Canary Wharf area is recruiting for an Assistant to join them at the end of August for maternity cover in IBD. This role will involve Secretarial support to Director level and a team. The role is initially 3 months with a view of being extended.
The role includes the following:
Extensive travel arrangements, preparation of itineraries, ordering foreign currency, visa arrangements
Diary management and meeting co-ordination both internal and external
Scheduling video/audio conferences
Extensive telephone coverage, ensuring all bankers and other assistants phones are covered at all times
Preparation of PowerPoint presentations, occasionally from scratch, or making amendments
General secretarial support to include typing, faxes, covering letters, E-Mails
Co-ordination of expenses from start to finish and ensuring that all Amex bills are reconciled in a timely fashion
Arranging couriers, booking taxis
Assisting with Group Administration
General administrative support e.g. collection of information from the Library, documents from the Document Management Centre etc.
Undertake research using the Library, Reuters, Bloomberg
Compile lists of parties, transaction bibles, working group lists
Transaction/general filing
Covering other assistant’s roles when they are out of the office
The ideal candidate for this role will have the following skills and experience:
Previous Secretarial experience in the Banking industry
Attitude: ‘Can do’ approach. Pleasure to do business with.
Flexible: re tasks, hours, work allocated within IBD.
Good communication skills: written and spoken. Ease of communication with all levels. Excellent telephone manner.
Well developed interpersonal skills. Ability to relate to wide range of individuals.

URGENT !! Secretary needed for an Investment Bank Temp to Perm £33k Canary Wharf
Large Investment Bank in Canary Wharf are recruiting for a Secretary to support at MD level in IBD on a temp to perm basis. The purpose of this role will be to provide Secretarial assistance to the Director and his team in a timely and efficient manner.

Executive Assistant Investment Banking Temp Ongoing £17-20ph Docklands TO START ASAP
A successful Investment Bank in the Docklands is recruiting for an Executive Assistant to support a Senior MD, 3 Executive Directors, a small group of Vice Presidents plus a team of approx 80. This is a busy secretarial role working for a Managing Director, a group of Executive Directors plus team. The duties are as follows:
Secretarial
Maintain calendars of the senior officer group, arrange internal and external meetings. Pro-actively ensure diaries do not have clashes, use initiative to find resolutions and workarounds.
Arrange all conference calls, rooms, AV equipment, dial in numbers and video conference facilities.
Co-ordinate and book all travel for whole assigned group including flights, hotels, currency, taxis etc within the Firmwide Expense Policy.
Ensure relevant agendas and itineraries are organised for Senior Officer Group.
Process monthly expense claims for Senior Officer Group in a timely manner. Ensure these are processed quickly and efficiently and are within Firmwide policy.
Pro-actively ensure these flow through the internal checking system and are forwarded on for payment.
Provide admin support for any ad hoc projects e.g. Offsites, onsites, social events, team meetings etc.
Book and check all internal room bookings
Produce ad-hoc presentations upon request.
Provide secretarial assistance to officers outside of designated group when other members of the administrative team are out of the office due to sickness.
Build good working relationships with other secretaries in the team and within other business units
Act as point of contact and support for visitors to the London Office. Provide full secretarial support to these Officers. Organise desks, security passes, PC logons etc.
The successful candidate must have solid secretarial experience working for large teams and have strong prioritisation, time management and communication skills and be happy to work autonomously.

Executive Assistant in Foreign Exchange Investment Banking £16-18ph Ongoing temp role Docklands
Investment Bank in Canary Wharf are recruiting for an Executive Assistant to provide professional and experienced secretarial support to the Foreign Exchange Team (currently 20).
This role will include the following:
Travel - Schedule detailed travel itineraries ensuring adherence to Firm and FID policy. Obtain visas where required.
Expenses - Preparation and processing of complicated expense reports in a timely fashion ensuring adherence to Firm and FID policy. Able to use initiative to resolve expense related issues when they arise.
Diary management – Arrangement of meetings/conference calls/lunches/dinners/interview schedules and management of calendars
Event Organisation – to organise client and internal events, including venue finding, budget compilation and reconciliation, management of invitation/reply lists, liaison with ticket agencies/event management companies

Cover is required at MD level positions. You will step into the Assistant's place and provide full secretarial coverage to the team. Bankers can be any level, from Analyst to Managing Director. Ability to be flexible, willing and having a can-do approach is vital.
Duties will include the following:
Exclusive control of business schedule and diary management. Maintain calendars, arrange internal and external meetings.
